1. Scope

This Privacy Policy explains how Holengen, LLC ("Holengen," "we," "us," or "our") collects, uses, discloses, and otherwise processes information in connection with Reedflow, including our website, local-first desktop application for Mac, optional Reedflow Cloud hosted features, and related support, billing, and account services (collectively, the "Services").

Reedflow includes both local/offline and hosted functionality. Some Reedflow features may run locally on your device or through providers you configure, while other features may require Reedflow or our service providers to process information on our behalf. This Privacy Policy describes the information Reedflow receives and handles when you use the Services or otherwise interact with us.

2. Information We Collect

We may collect the following categories of information:

Information you provide directly

  • Account and profile information, such as your name, email address, login credentials, and account preferences.
  • Transaction and billing information, such as subscription details, purchase history, billing address, and payment-related records. Payment card details may be collected and processed by our payment processors rather than stored by us directly.
  • Support and communications, such as messages you send to us, survey responses, feedback, and information you provide when requesting assistance.

Information collected when you use the Services

  • Device, log, and usage information, such as IP address, browser type, app version, operating system, approximate location inferred from IP address, timestamps, referring pages, and service interactions.
  • Account session and authentication information needed to maintain secure sign-in, prevent abuse, and support core account functionality.

Content processed through hosted features

If you choose to use Reedflow Cloud or other hosted or account-linked features, we may receive and process content associated with those features, which may include:

  • audio files or audio snippets submitted for hosted processing;
  • transcript text, prompts, summaries, translations, cleanup inputs, or other inputs you submit;
  • outputs generated through the hosted features; and
  • related technical metadata needed to operate, secure, and improve those features.

Cookies and similar technologies

We and our service providers may use cookies and similar technologies to operate the website, maintain secure sessions, remember preferences, and support core account functionality. We describe this in more detail below.

3. How We Use Information

We may use the information we collect to:

  • provide, operate, maintain, and improve the Services;
  • create and manage user accounts;
  • authenticate users and maintain secure sessions;
  • process purchases, subscriptions, and related transactions;
  • provide customer support and respond to questions or requests;
  • operate hosted processing features and return requested outputs;
  • monitor performance, debug issues, prevent fraud, and protect the security and integrity of the Services;
  • communicate with you about the Services, including updates, administrative notices, and support messages; and
  • comply with legal obligations and enforce our agreements.

4. Local Processing and Hosted Processing

Certain Reedflow desktop workflows may process audio or transcript data locally on your device. When that processing stays local, Reedflow may not receive that content.

If you choose Reedflow Cloud or features that depend on Reedflow accounts, hosted processing, payment flows, support interactions, or other cloud-based functionality, Reedflow may receive and process the information needed to provide those features.

For example, if you use hosted file transcription, hosted push-to-talk, AI cleanup, summaries, translation, or similar account-linked features, Reedflow and its service providers may process the submitted audio, text, prompts, outputs, and related metadata to operate the requested feature. If you keep a workflow entirely local or within a provider configuration you manage yourself, Reedflow may receive little or no content from that workflow beyond the account, billing, support, or technical information needed to provide the related Services you choose to use.

5. How We Share Information

We may share information in the following circumstances:

  • Service providers and vendors. We may share information with vendors that help us operate the Services, such as hosting providers, authentication providers, payment processors, customer support tools, analytics or security tools used for core operations, and providers that help us deliver hosted features.
  • At your direction. We may share information when you instruct us to do so or when sharing is necessary to complete your request.
  • Legal, compliance, and protection purposes. We may disclose information if we believe doing so is necessary to comply with applicable law, legal process, or governmental request, or to protect the rights, property, or safety of Holengen, our users, or others.
  • Business transfers. We may share or transfer information in connection with a merger, acquisition, financing, reorganization, sale of assets, bankruptcy, or similar transaction.

We do not sell personal information in the ordinary meaning of that term.

6. Cookies and Similar Technologies

We may use cookies, similar storage technologies, and session tools to:

  • keep you signed in;
  • maintain secure account sessions;
  • remember settings or preferences;
  • support core website and service functionality; and
  • understand basic service performance and reliability.

We currently use cookies and similar technologies primarily for account, session, security, and core operational purposes rather than third-party advertising or cross-site behavioral profiling.

Most browsers let you control cookies through their settings. If you disable cookies, some parts of the Services may not work properly.

7. Data Retention

We retain information for as long as reasonably necessary to provide the Services, maintain accounts, complete transactions, comply with legal obligations, resolve disputes, enforce our agreements, and support legitimate business operations.

Retention periods may vary depending on the type of information, the feature involved, whether processing occurred locally or through hosted services, and applicable legal or operational requirements.

8. Security

We use reasonable administrative, technical, and organizational measures designed to protect information under our control. No method of transmission over the Internet or method of electronic storage is completely secure, and we cannot guarantee absolute security.

9. Your Choices and Rights

You may have choices about the information you provide to us and how we communicate with you. For example, you may be able to access, update, or delete certain account information through your account settings or by contacting us.

Depending on where you live, including if you reside in a state with applicable privacy laws such as California, you may also have privacy rights under applicable law, such as rights to request access to, correction of, deletion of, or information about certain personal information we hold about you. Those rights may be subject to exceptions and limitations.

10. Children's Privacy

The Services are not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child under 13 has provided personal information to us, contact us at contact@reedflow.app, and we will take appropriate steps to review the situation.

11. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. If we make material changes, we may provide notice by updating the "Last updated" date above, posting the revised Privacy Policy through the Services, or using another appropriate communication method.
